How Insurance Chimney Claims Work in DFW | Texas Service Experts
Texas Service Experts — DFW chimney & fireplace specialists. Free inspection, written quote, no surprise fees.

How insurance chimney claims actually work — the five-step process Texas Service Experts uses from First Notice of Loss through final carrier billing. This page is the playbook we hand every DFW homeowner who calls us about a chimney fire, lightning strike, storm damage, water damage, or animal damage claim.
Step 1 — File First Notice of Loss (FNOL) with your carrier
First Notice of Loss is the initial claim filing — every carrier accepts FNOL via mobile app, online portal, or phone. File as soon as you discover the damage. Most policies require ‘prompt notice’; waiting weeks can create coverage problems.
When you file, you’ll receive a claim number and (within 24-72 hours typically) an adjuster name and contact. Save both. Every document we produce on the claim references the claim number, and we communicate directly with the assigned adjuster.
You can file FNOL before scheduling our inspection or after — both orders work. Many homeowners prefer to have us inspect first so we can document the full scope before the adjuster arrives, then submit our findings as part of the claim file.
Step 2 — Free on-site inspection + documentation
Our inspection is free and produces the documentation set adjusters expect:
- Drone aerial photo set — full perimeter, crown top-down, chase-cover detail, flashing close-ups (used to support storm and lightning claims without ladder-only access)
- Internal video flue scan — high-resolution chimney camera footage showing flue tile cracks, creosote glazing, and smoke chamber condition
- Written NFPA 211 inspection report — Level 1 or Level 2 inspection">Level 2 inspection findings documented to the National Fire Protection Association standard adjusters expect
- Moisture mapping — infrared and pin-meter readings on interior masonry to document water-intrusion path and extent
- Xactimate-format XML estimate — line-item scope in the estimating format every major insurance adjuster uses, ready to drop into the claim file
- Supplemental claim documentation — when teardown reveals hidden damage (cracked flue tiles, failed liners, smoke chamber damage), we file the supplemental with photo evidence and Xactimate revision
We inspect the full chimney system: exterior masonry or chase, crown, cap, flashing, flue interior, smoke chamber, firebox, damper, and any attached gas appliances. Damage in any of these areas can be part of the covered claim.
Step 3 — Xactimate-format estimate delivered
Xactimate is the estimating software every major US insurance carrier uses for property claims. Estimates submitted in Xactimate format — with line-item scope, current regional pricing, and the codes adjusters recognize — get approved much faster than hand-written quotes.
We prepare every insurance estimate in Xactimate format from day one. The deliverable is an XML file the adjuster can import directly into the claim file, plus a PDF copy for your records.
If your carrier has already sent an adjuster estimate, we compare line-by-line and identify gaps. Common gaps: chimney height not measured correctly, smoke chamber damage not inspected, flue tile condition not assessed, code-required upgrades (e.g., flue liner replacement when smoke chamber is damaged) not included.
Step 4 — Adjuster review + supplementals as needed
The adjuster reviews our estimate, may inspect on-site themselves, and either approves the scope, requests modifications, or partially approves. We’re available to walk the adjuster through our findings and answer questions on every claim.
Supplementals — additions to the original claim scope filed when new damage is discovered during repair — are normal on chimney claims. The adjuster’s initial scope usually prices visible exterior damage; teardown often reveals deeper damage (cracked flue tiles inside an intact flue, damaged smoke chamber behind sound brick, hidden liner failure).
We document each hidden-damage finding with photos and submit the supplemental Xactimate revision to the carrier as we go, so the final settlement covers the actual repair scope, not just the surface scope.
Step 5 — Approved work executed; carrier billed direct
Once the scope is approved, we schedule the work. Most chimney repair scopes execute in 1-7 days depending on size; major rebuilds (full chimney rebuild, full liner replacement plus smoke chamber rebuild) can take 1-3 weeks.
When the work is complete, we deliver final documentation: photo set of completed work, certificate of completion, NFPA 211 post-repair inspection report, warranty paperwork, and a final invoice in the format your carrier requires.
We bill the carrier directly for the approved amount. You pay your deductible and any non-covered upgrades you chose to add (e.g., upgrading from a standard galvanized cap to a copper cap). No upfront contractor payment, no balance billing for the approved scope.
Trust and verification
- Fully insured (general liability + workers’ compensation) — adjusters can verify our certificates of insurance on file
- We bill the insurance carrier directly when the claim is approved — you pay your deductible only, no upfront contractor payment required
- Xactimate-format estimates from day one — we don’t make adjusters convert from a hand-written quote
- We work the supplemental claim when hidden damage is discovered during teardown — most insurance chimney jobs require at least one supplemental, and we know how to document and submit them
Frequently asked questions
What is FNOL and when should I file it?
FNOL = First Notice of Loss. It’s the initial claim filing with your insurance carrier. File it as soon as you discover the damage — most policies require prompt notice. You can file before scheduling an inspection; the claim number lets the adjuster track everything we send.
Should I let the insurance adjuster come out before or after a contractor inspection?
Either order works. Many homeowners have us inspect first so we can identify all damage and prepare a documented scope before the adjuster arrives — the adjuster then validates against our findings. Other homeowners prefer the adjuster come out first so the carrier sees the damage independently. Both paths close successfully.
What is Xactimate and why does it matter?
Xactimate is the estimating software every major US insurance carrier uses for property claims. Estimates submitted in Xactimate format (with line-item scope and current regional pricing) get approved much faster than hand-written quotes. We prepare every insurance estimate in Xactimate format from day one.
What is a supplemental claim?
A supplemental is an addition to the original claim scope, filed when new damage is discovered during repair or when the original scope was incomplete. Most chimney claims need at least one supplemental — the visible damage is what the adjuster prices, but teardown often reveals deeper issues that get added by supplemental.
Can I be reimbursed for emergency tarp-and-cover work before the adjuster arrives?
Usually yes — most policies require the homeowner to take ‘reasonable steps to prevent further damage,’ and emergency tarping or capping after a storm or fire qualifies. Save receipts; we provide an itemized invoice for the emergency work that you submit to the carrier.
